What you agree to when you pitch
Ticking "I consent to my work being displayed" on the pitch form means the points below. Nothing more. A pitch is not a commitment on either side.
Your rights
- You are 18 or older.
- You keep ownership of your idea and your work. Pitching transfers nothing.
- You confirm you hold the rights to what you describe, or have permission for any material by others.
- You can withdraw at any time by emailing hello@aisafety.museum.
What we may do with your pitch
- Read and score it. A small volunteer committee reads every pitch. Advisors from the AI safety field see the shortlist.
- Contact you by email about your pitch, the shortlist, and later showings.
- Show your work at the Berlin venues if it is selected and you complete stage two, and use it as a demonstration in briefings for policymakers, journalists, and educators. Selection is not guaranteed.
We do not publish pitches, share them outside the screening group, or use them for anything other than selecting exhibits.
Your data
- Your name, email, location, and pitch are stored in our submissions database, hosted on Airtable, and are visible only to the organizer and screeners.
- The link you used to reach the form may record which channel it came from, so we know where to post next time. No other tracking.
- We keep pitches until the end of the exhibition program, at most 24 months, and delete them on request. Full details in the privacy notice. Email hello@aisafety.museum.
If you are shortlisted
Stage two comes with the full terms: your choice of license (Creative Commons or display-only), how you are credited, consent to photography of the installed work, safety requirements for physical pieces, and the rule that interactive pieces record only anonymous usage data. You decide all of that then, with the full text in front of you. The summary on the open call page reflects them.
If your work is shown
Every accepted work is paid. The fee is $200 for a physical installation, or $150 for a screen-based or online piece, rising to as much as $500 per experience where the scale of the work calls for it, agreed with you at shortlist stage before you commit to anything. Shipping, materials, and installation costs are covered on top of the fee, also agreed at shortlist stage. The fee is paid within 30 days of install and does not depend on how the piece is received. There is no submission fee at any stage.
Who you are agreeing with
The AI Safety & Society Exhibition is a volunteer project. Until it has a host organization, the counterparty is Justin Shenk as organizer. If a host organization takes over, it will offer the same conditions, and you may decline and withdraw at that point.
Changes to these terms
We may update these terms as the project changes, for example when it gains a host organization or adds a venue. Changes never apply retroactively: the version in force when you pitched is the one that governs your pitch, and if we change anything that affects work already accepted we will tell you and you may withdraw. Each version carries a number and a date below.
